Tourney Host HQ is a software application owned and operated by Back 9 Tournament Solutions, a Link’s Golf Shack company (“Back 9,” “we,” “our,” or “us”).

This Privacy Policy explains how information is handled when customers, event organizers, sponsors, and participants use Tourney Host HQ (“Software” or “Service”).

1. Information Collected

Tourney Host HQ may collect and store information entered by event organizers and authorized users, including but not limited to:

• Names
• Email addresses
• Phone numbers
• Golf event registration details
• Sponsor information
• Team and player information
• Social media account information
• Tournament-related content and event data

This information is used solely for the operation, management, and administration of golf tournaments and related event services.

Users should not enter sensitive financial or personal identification information into the application unless specifically directed through an authorized secure payment portal.

2. How Information Is Used

Back 9 does not use golfer, sponsor, participant, or customer information for unrelated marketing purposes.

We do not:

• Sell personal information
• Rent personal information
• Share personal information with third parties for advertising or marketing purposes
• Use participant information for unsolicited communications

Email or text communications are only sent when:

• They are directly related to tournament operations, registrations, scoring, event participation, or customer support, or
• An individual has personally opted in to receive marketing emails or text messages from Back 9 Tournament Solutions or Link’s Golf Shack

Users may opt out of marketing communications at any time.

3. Financial Information & Sensitive Data

Tourney Host HQ itself does not collect, process, store, or utilize sensitive financial information such as:

• Bank account numbers
• Credit card or debit card numbers
• Social Security numbers
• Driver’s license numbers
• Tax identification numbers
• Financial account credentials
• Other highly sensitive personal or financial data

Any tournament-related payments or fundraising activities — including but not limited to:

• Tournament registration fees
• Sponsorship payments
• Donations
• Raffle ticket sales
• Mulligan pass sales
• 50/50 drawings
• Merchandise purchases
• Other fundraising transactions

are handled exclusively through the tournament website and/or approved third-party payment processing services when those services are utilized by the event organizer.

Back 9 Tournament Solutions does not directly process or store payment card information within the Tourney Host HQ application.

Users and event organizers are expressly prohibited from entering sensitive financial or personal identification information into any fields, notes, spreadsheets, uploads, chat areas, or other areas of the application not specifically designed for secure payment processing.

Back 9 reserves the right to remove improperly stored sensitive information and is not responsible for unauthorized submission of prohibited confidential data into the platform.

4. Data Retention

Tournament and participant data is retained only as long as necessary to provide the Service.

Unless a customer purchases or maintains a year-round storage or recurring event package:

• Tournament data
• Participant information
• Sponsor information
• Uploaded content
• Event records

will be permanently deleted following the completion of the event and conclusion of service operations.

Customers who subscribe to ongoing storage or annual event services authorize Back 9 to retain data for future tournament use.

5. Data Security

Back 9 uses reasonable administrative, technical, and organizational measures to help protect information stored within Tourney Host HQ. However, no system, software platform, or online service can guarantee absolute security.

While Back 9 uses reasonable safeguards to protect stored information, users are responsible for ensuring prohibited sensitive data is not uploaded or entered into the platform.

Users are also responsible for maintaining the confidentiality of their account credentials and login information.

6. Third-Party Services

Tourney Host HQ may integrate with or utilize third-party platforms or services, including but not limited to payment processors, email delivery services, SMS providers, registration platforms, or hosting providers, solely for operational functionality.

These third-party providers may process information only as necessary to perform their services.

Back 9 is not responsible for the independent privacy or security practices of third-party providers.

7. Children’s Privacy

Tourney Host HQ is not intended for use by children under the age of 13, and we do not knowingly collect personal information from children.

Back 9 reserves the right to update or modify this Privacy Policy at any time. Continued use of the Service after changes are posted constitutes acceptance of the updated policy.
